Scope
This standard applies to any multi-functional device that may be connected to the City network that provides any combination of printing, copying, faxing, and scanning.
Standard
The requested device will be evaluated on the following requirements from each category. A device will only be supported on the categories where it is approved.

Printing Requirements:
  • Must have internal network connection using RJ45 connector
  • Must have front control panel
  • Must be centrally manageable by HP JetAdmin
  • Must support Auto Sensing and Auto Switching
  • Must support IP
  • May support IPX (both NDS and NDPS modes)
  • May have NDPS gateway supplied with Novell Netware or available from vendor
  • Must have internal color ripper (Color only)
  • Must have two-sided print (duplex) feature installed (except plotters)
  • Must support HP PCL 5 or higher
  • May support Postscript Level 3 or higher
  • May support HP GL/2 (required for GIS, otherwise optional)
  • Must include embedded Web server
  • Must have drivers available for download by the City from the Web
  • Must have drivers for Windows 2000 and XP
  • Must use the "Add Printer Wizard" for setup in Windows
  • Must use Standard TCP/IP port for connection on Windows 2000 and XP
  • Must have support for Unix/Linux (CUPS) systems
  • Must have a minimum memory of 32M bytes
  • May have a minimum on-board disk space of 2G bytes

Scanning Requirements:
  • Must use SMTP protocol for e-mail image transport
  • Must use LDAP for e-mail addressing

Faxing Requirements:
  • Must be option on printer driver for network fax, else walk-up fax only
  • Must use analog port

Multi-function Requirements (copying/printing/scanning/faxing):
  • Copying function must meet Office Services requirements
  • Printing function must meet Printing Requirements above
  • Scanning function must meet Scanning Requirements above
  • Faxing function must meet Faxing Requirements above

Maintenance and Support Requirements:
  • Three-years on-site maintenance and support from the vendor

Rationale
The City needs to ensure that all devices on the network comply with the Information Technology Procurement Policy.

Two-sided printing should be used whenever possible to conserve resources.

TRC will evaluate multi-function devices only by Department request.
